1. Location Requirements
1.1 The event site must have a flat and stable surface to accommodate tents.
1.2 A minimum clearance of 7.5m in diameter is required per tent.
2. Client Responsibilities & User Instructions
2.1 Safety & Use Guidelines:

No open flames within 5 meters of any tent.

No smoking inside the tents.

No alterations, decorations, or modifications may be made to the tents or provided equipment.

The client must ensure that all guests treat the equipment with care and respect.
2.2 Tent Maintenance During the Event:

The client is responsible for securing the tents during high winds, ensuring they remain closed during rain, and keeping them free of debris.

Any damage, misuse, or neglect that results in additional cleaning or repair costs will be charged to the client.
3. Weather Conditions & Setup Restrictions
3.1 Tents will not be set up in strong winds, extreme heat, or heavy rain due to safety concerns.
3.2 If setup is delayed due to weather conditions, Peninsula Nomads will work with the client to find a suitable alternative time or provide guidance on rescheduling.
3.3 If adverse weather persists and prevents setup, Peninsula Nomads reserves the right to cancel the booking for safety reasons. Refunds or rescheduling options will be discussed on a case-by-case basis.
3.4 Tents will not be packed down if it is raining to prevent damage. The client must ensure Peninsula Nomads can return at a later date to collect the tents once conditions are safe.
3.5 Tents must be completely dry prior to pack-down. If they are wet, Peninsula Nomads will delay pack-down until they have dried to prevent damage.
4. Cleaning & Damage Fees
4.1 Cleaning Fee:

The tent interiors must be kept free of dirt, mud, stains, and water damage.

If excessive cleaning is required after the event, a cleaning fee will be charged, which may be deducted from the bond or invoiced separately.
5. Bond
5.1 A $150 bond per tent reservation is required and must be paid at least 2 weeks prior to the event date.
5.2 Bonds will be included in the invoice total and processed for return within 7 business days after the event pack-down.
5.3 Any damage, missing items, or additional cleaning fees will be deducted from the bond. If costs exceed the bond amount, the client will be invoiced for the difference.
6. Booking & Payment Terms
6.1 Quotes are valid for 7 days unless otherwise stated.
6.2 A 20% deposit is required to confirm a booking.
6.3 The full invoice balance is due 8 weeks before the event date.
6.4 Any increase in tent numbers beyond the original booking (e.g., from 8 to 12 tents) may incur additional labor and travel costs, which must be paid in full within 7 days of invoicing. If the event is within 7 days, payment is required immediately.
7. Cancellation & Refund Policy
7.1 Cancellations must be submitted in writing.
7.2 If cancellation is requested more than 16 weeks before the event date, the deposit is fully refundable minus any administrative fees.
7.3 If cancellation is requested within 16 weeks of the event date, the deposit is non-refundable.
7.4 If cancellation is requested within 8 weeks of the event date, the client is liable for 100% of the booking invoice.
7.5 Any completed work, such as website setup for guest payments, is non-refundable, even if it exceeds the 20% deposit.
7.6 An administration fee of $42.50 per transaction will apply for cancellations, including those affecting guest payments made through the event’s dedicated website.
8. Guest Payment & Refund Process
8.1 The client’s guests may book and pay for their tents via a dedicated webpage created by Peninsula Nomads.
8.2 The standard booking includes 8 tents, covering travel and labor fees.
8.3 The client will be refunded up to the amount paid by guests, capped at the total invoice amount for 8 tents. Refunds will be processed 7 days after the event date unless agreed otherwise in writing.
8.4 If guest bookings exceed the initial allocation of 8 tents, Peninsula Nomads will retain a predetermined portion of each additional tent payment, with the remainder (if applicable) refunded to the client.
8.5 If the client elects to adjust the per-tent pricing for guest payments, any additional amount collected beyond the base rate will be refunded to the client.
9. Liability & Disclaimer
9.1 Peninsula Nomads is not liable for any injury, loss, or damage sustained by the client or third parties during the event.
9.2 Guests use tents and additional services (e.g., lawn games) at their own risk.
9.3 Peninsula Nomads is not responsible for damage to property caused by weather conditions or improper use of the equipment by guests.
10. Transition of Ownership (Effective from 14 October 2024)
10.1 Any pre-existing agreements, bookings, or vouchers from a past owner must be arranged directly with them. Their contact details can be provided upon request.
